Administrative Assistant/Customer Service
Candidate is involved in a wide range of activities within the organization. In most cases he/she will be the first point of contact for our customers. The job involves a moderate level of data entry (sales orders/purchase orders), but will require a high level of accuracy.
Essential Duties and Responsibilities

Process & schedule sales orders, monitor and control progress, ensure that promised ship dates are being met. Billing preparation and invoicing of shipped orders.
·
Communicate with customers and sales staff about the status of sales orders including (changes) in the expected ship date of orders, stock levels, lead times and pricing.
·
Process sales leads, maintain a centralized customers/leads database and send documentation to (potential) customers.
·
Process purchase orders, monitor and control their progress. Communicate with forwarders and other agents regarding imports.
·
Check deliveries and purchase invoices against the original purchase order and rectify any discrepancies with the supplier (quantities, quality, pricing, other terms & conditions)
·
Assist sales staff in the organization of trade shows (stand, accommodations, logistics)
·
Keep a sufficient level of office supplies, stationary and promotional literature.
·
Assist in cash collection / chasing payments from customers when required.
·
Prepare & distribute daily/weekly sales related reports (bookings, billings, back-orders).
·
Any other work that could be reasonably required from someone in a similar position.
Education and/or Experience
·
Commercial/administrative background (education and or experience).
·
Knowledge of logistics, physical distribution. Customer service orientated.
·
Good computer skills, proficient in Microsoft Office (Outlook, Word and Excel).
·
Fluent in English (speaking and writing), other languages (preferably French, German) a pre.
Qualifications
·
Good communicative and organizational skills.
Ability to prioritise many tasks and meet deadlines.
·
Administrative care and capabilities, ability to organize his/her own work, accuracy.
·
Being able to operate in a small team, operate independently.
·
Aware of health and safety aspects at work.
·
Ability to comprehend and apply commonsense understanding to carry out instructions furnished in oral, written or diagram form.
·
Ability to add, subtract, multiply, divide in all units of measure using whole numbers, common fractions and decimals.
Salary 18k-20k
